Operations and Membership Coordinator

Hours: Monday to Friday, 830am to 4pm; may include after hours to support events; with time off in-lieu if applicable
Salary: 45-55k

The Middlesex Law Association (MLA) is seeking a dynamic and detail-oriented Operations and Membership Coordinator to support our leadership team and coordinate engaging events that serve the legal community of Middlesex County. This is an exciting opportunity to be part of a respected, member-focused organization dedicated to the advancement and support of the local legal profession.
Event Coordination
- Plan and execute professional development programs, member socials, and signature MLA events including providing on-site support.
- Liaise with speakers, venues, vendors, and sponsors.
- Manages registration via Wild Apricot and website promotion using WordPress.
- Create promotional materials including social media, manage event registrations, and track budgets.
- Ensure smooth event execution from initial planning to post-event wrap-up.
Member Relations
- Serve as a friendly and informed point of contact for member inquiries.
- Support member engagement initiatives and assist with communications, newsletters including SNAIL, and website updates including following up with contributors.
- Manages advertising for print and online publications, including invoicing, payment collection, tracking of commitments and reviewing ads.
- Support and provide scheduled coverage for staff relief at the Law Library.
- Prepares MailChimp MLA Weekly advertising and plugs; managing online platforms and social media accounts
Administrative Support
- Provide administrative support to the Executive Director and Board of Trustees.
- Manage schedules, coordinate meetings, and prepare agendas and minutes.
- Maintain organized records and correspondence in both physical and digital formats.
- Assist with reporting, research, and communications on behalf of the Association.
- Manages office supplies for efficient operations of office equipment.
Library Services
- Assist with the administrative, services, and collection management responsibilities of the Practice Resource Centre library function including but not limited to:
- Check-in and track expected materials; prepare new books and log new acquisitions
- File looseleaf releases to appropriate texts, flagging any missing components
- Shelve materials and repair damaged materials/make arrangements for re-binding
- Record circulation of library materials for reporting
- Manage overdue materials and processes for recall
- Maintain appearance of book collection and workspaces of the PRC
- Provide scheduled coverage and relief staffing for PRC front desk, with general assistance to members
Other Duties
- Perform other duties and assist with special projects as required by the Executive Director.
Qualifications
- Preference for someone with Administrative Assistant or Event Planning Education
- Minimum of 5 years of customer service experience; preference for administrative assistant or event coordination experience
- Strong willingness to learn, with a flexible and coachable mindset
- Excellent organizational and written/verbal communication skills with strong attention to detail
- Proficiency with Microsoft Office Suite, Zoom, Wild Apricot, WordPress, and event management tools
- Comfortable working both independently and collaboratively in a fast-paced, professional environment
- Knowledge of the legal profession and/or experience working with a non-profit or member-based organization is an asset
