Position Overview

We are seeking a finance-centric, operations-minded Operations and Cost Analyst to lead costing analysis, strengthen inventory controls, and support operational decision-making across manufacturing, warehouse, logistics, and retail activities. This role will work closely with warehouse personnel and cross-functional teams to improve inventory accuracy, identify and analyze operational issues, enhance visibility through visual factory practices, and ensure accurate product costing and inventory reporting.

The Operations and Cost Analyst will be responsible for BOM audits, product costing, logistics management, landed cost processes, freight forwarder coordination, and ongoing review of inventory and cost data. The role will also support the migration from the current systems environment to Microsoft Dynamics 365 Business Central; prior Business Central experience is preferred.

The ideal candidate will combine strong financial analysis and costing capabilities with a practical understanding of warehouse and manufacturing operations, inventory flows, job costing, BOM structures, purchasing, logistics, and process improvement.

This position reports to the VP of Operations and Finance

Key Responsibilities
  • Overall responsibility for SOS (SOS is our inventory management system), Shopify (Shopify is our Retail store System) & Service Fusion (Service Fusion is our service operations system) for item/SKU creation and setup
  • Ensure all items are fully set up and maintained with accurate profiles, descriptions, accounting mappings, standard costs, landed costs, sales prices, and product costing assumptions.
  • Building and maintaining purchase/vendor relationships.
  • Maintain and update inventory records, ensuring that SKUs/items are consistent across all platforms and that inventory variances, integration issues, costing errors, and process gaps are identified, analyzed, and resolved.
  • Ensure that the correct inventory is appearing across all platforms.
  • Develop, implement, and monitor inventory control procedures and best practices, working directly with warehouse personnel to improve inventory accuracy, cycle count discipline, transaction compliance, and visibility of inventory issues.
  • Set up, audit, and maintain Bills of Materials (BOMs), ensuring materials, quantities, costs, labour/overhead assumptions, and production requirements are accurate and aligned with operational reality.
  • Perform costing analysis for jobs, products, and projects, ensuring the correct inventory is associated with each job/item and that cost performance is measured, reported, and explained.
  • Ensure proper controls and correct accounting for returns and damaged goods.
  • Ensure proper record and disposal of production waste (workshop).
  • Regularly review, update, and validate purchase costs, landed costs, standard costs, product costs, and sales prices across applicable systems.
  • Evaluate and set up an approved vendor list, update this regularly, and maintain records to this effect.
  • Negotiate credit terms as and when applicable.
  • Create purchase orders in SOS for LC transactions.
  • Review all open purchase orders for completion and closure.
  • Coordinate with vendors for purchasing/ delivery matters and issues.
  • Receive items in SOS after physical count (where applicable).
  • Manage logistics coordination, landed cost (LC) processes, freight forwarder relationships, import broker interactions, and shipping documentation to support efficient, accurate, and cost-effective inbound and outbound freight activity.
  • Provide a monthly aging and value analysis for inventory, establish EOQ and minimum re-order levels.
  • Create and maintain visual factory tools, dashboards, reporting boards, and operational indicators that make inventory accuracy, costing issues, stock movement, and process performance visible to warehouse and management teams.
  • Support the migration from current systems to Microsoft Dynamics 365 Business Central, including data validation, item master setup, BOM and costing review, inventory controls, process testing, and issue resolution.
  • Minimum once a quarter or as required, carry out a physical count of inventory with Retail, Warehouse, and Manufacturing teams.
Skills and Qualifications
  • Proven work experience in costing analysis, inventory controls, product costing, BOM management/audits, logistics, and inventory accuracy improvement, ideally within a manufacturing, distribution, or production environment.
  • Proficiency with inventory management systems, Microsoft Dynamics 365 Business Central preferred, QuickBooks Online, Shopify/Service Fusion/SOS experience an asset, and strong Microsoft Excel skills.
  • Strong background in financial analysis, cost accounting, variance analysis, operational reporting, and translating operational issues into measurable financial impacts.
  • Strong analytical, organizational and problem-solving skills.
  • Strong knowledge of costing techniques, landed cost processes, BOM costing, standard cost maintenance, and inventory valuation.
  • Knowledge of process-based workflows.
  • Detail-oriented with a commitment to accuracy and efficiency.
  • Excellent communication and collaboration skills.
  • Ability to work independently and as part of a team.
  • Self-motivated with the ability to work independently and collaboratively.
  • Knowledge of supply chain management, logistics, freight forwarding, import/export coordination, landed cost management, and warehouse inventory control practices.
  • CPA/CMA designation (or currently pursuing) is preferred but relevant experience will also be considered.
