Operations & Admin Coordinator
Full Time, Year-Round

What will I be doing?

Property Services Coordination

  • Coordinate and assign service and maintenance requests, ensuring timely resolution
  • Maintain housekeeping contractor schedules and confirm service appointments and work order completion
  • Communicate daily with the Property Services team to ensure alignment on outstanding tasks
  • Track and update service requests in company systems, ensuring accurate records
  • Conduct periodic checks of stockrooms and assist in ordering supplies as needed

Administrative & Office Support

  • Support the Operations, Guest Services, Owner Relations, Finance, and Leadership administrative tasks, such as data entry, administrative tasks, etc.
  • Assist with new hire onboarding coordination, including name tags, uniforms, parking passes, and equipment tracking
  • Maintain the organization of shared office spaces, supply cabinets, etc.
  • Help prepare internal communications, notices, or training/meeting materials as directed by leadership
  • Assist with ordering and tracking company assets and managing internal inventory logs

Communication & Documentation

  • Act as a liaison between internal teams, vendors, and external contractors
  • Document and archive completed service jobs and inspection outcomes
  • Update spreadsheets, service logs, and digital files with current status and completion notes
  • Provide clear, professional written communication as part of ongoing coordination tasks

Team Support & Flexibility

  • Work closely with the Director of Operations and department leads to support daily priorities
  • Step in to support hands-on property tasks when needed, such as supply delivery or inspections
  • Remain flexible to assist with changing business needs or special projects
  • Uphold Whistler Platinum brand standards in every interaction

  • Previous experience in office coordination, property services, or administrative support
  • Excellent organizational skills and attention to detail
  • Strong communication and interpersonal skills
  • Proficient with Microsoft Office and comfortable working in cloud-based systems
  • Ability to multitask in a fast-paced, team-oriented environment
  • Proactive, professional, and committed to maintaining high service standards
  • Valid BC driver’s license and access to reliable transportation
