About The Role

We are looking for an Offices and Facilities Specialist who wants to celebrate in a fast-paced and changing environment. As part of the ramp-up team at our new Canadian location, you will report to the Operations Manager within the Facilities, Construction, and Maintenance department.

This position is in-person and located in the charming town of St. Thomas, ON.

Key Responsibilities
Office Layout and Space Management
  • Design, implement, and optimize office layouts for maximum space utilization, comfort, and efficiency.
  • Coordinate workstation assignments, meeting room configurations, and collaborative spaces.
  • Lead office renovation or reconfiguration projects in collaboration with contractors and internal teams.
  • Coordinate with IT to ensure infrastructure supports current and future needs.
Facilities Maintenance and Operations
  • Oversee maintenance of physical facilities, including plumbing, HVAC, electrical systems, elevators, and structural components.
  • Supervise custodial services, ensuring cleanliness and sanitation standards.
  • Develop and implement preventive maintenance schedules and ensure timely repairs.
  • Liaise with building owners and third-party vendors, managing service level agreements.
  • Manage the facilities budget, including forecasts for maintenance, utilities, and capital expenditures.
  • Monitor utility usage and identify opportunities for cost savings or sustainability improvements.
  • Manage building access controls, safety protocols, and compliance with safety regulations.
Real Estate Management and Expansion
  • Conduct needs assessments for space requirements based on business growth or restructuring.
  • Research and evaluate potential new office locations or satellite spaces.
  • Coordinate office moves, including logistical planning.
What You Bring To The Team
  • Bachelor’s degree in Facilities Management, Business Administration, Engineering, or related field.
  • 5+ years of relevant experience.
  • Knowledge of building infrastructure and systems, including HVAC, electrical, plumbing, and fire safety.
  • Experience managing external contractors and ensuring alignment with organizational goals.
  • Strong communication skills for liaising with stakeholders at all levels.
  • Ability to handle emergencies calmly and methodically.
  • Proven leadership skills to motivate team members.
  • Proficiency with Microsoft Office Suite (Excel, PowerPoint, Outlook).
  • Excellent communication and relationship-building skills across diverse organizational levels and cultures.
  • Flexibility to work overtime to meet ramp-up deadlines.
  • Willingness to work flexible hours and travel within Ontario, Germany, and China as needed.
