Under general supervision, this role is responsible for handling and dispatching all mail, packages, and interoffice correspondence for all classes of mail/packages. Responsibilities may also include copy center activities, reception, hospitality, and other duties as assigned.
Ensure total customer satisfaction by understanding customer expectations, proactively resolving problems, and building relationships.
Receive, sort, and deliver incoming mail & packages according to assigned floors and timeframes. Prepare outgoing mail/packages, including sealing, weighing, and affixing postage in accordance with postal regulations. Prepare and dispatch special outgoing inter-office pouches. Handle outgoing overnight shipments via FedEx, UPS, etc., and log all items accurately.
Distribute supplies, verify and log orders, monitor inventory, and maintain a neat supply area. Handle copying, faxing, and administrative duties, including quality checks, producing bound copies, and routine maintenance of equipment. Operate and maintain facsimile machines, input data, generate reports, and perform related administrative tasks.
Assist with setting up and maintaining client’s kitchen and conference rooms, answer telephones, greet visitors, move supplies or furniture, replace light bulbs, perform document scanning, and prepare outgoing shipments. Adapt to new office automation technologies as introduced.
Additional duties as assigned by the Site Manager include:
Managing office amenities, reception duties, moving tasks, document scanning, shipping preparations, and learning new equipment functionalities.
