Job description

The Office Manager will perform a variety of administrative duties in support of the executive Head Office team. Duties will include managing office administrative procedures, general administrative support, and receptionist duties.

Duties & Responsibilities will vary:

  1. Maintain and establish office procedures.
  2. Provide professional, caring, outstanding customer service.
  3. Answer phone calls and communicate, direct inquiries, calls for efficient follow-up.
  4. Greet visitors, ascertain the nature of business, and direct visitors to the employer or appropriate person.
  5. Maintain a calm & resilient demeanor while handling customer complaints.
  6. Mail preparation & delivery, filing, copying & other similar tasks.
  7. Order office supplies.
  8. Cheque preparation.
  9. Ensure operation of equipment by completing preventive maintenance, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
  10. Maintain tidy reception, kitchen, & boardroom areas.
  11. Prepare, edit, and proofread correspondence, invoices, presentations, brochures, reports, and related materials as requested.
  12. Develop, manage & maintain various Word & Excel documents.
  13. Schedule and confirm appointments and meetings of the employer if requested.
  14. May prepare minutes of meetings.
  15. Prepare Request for Proposals.
  16. Complete forms as requested.
  17. Assist with social media monitoring.
  18. May supervise and train office staff in procedures and in use of current software.
  19. All other duties/tasks as assigned.

  • Ability to share and highlight success stories on LinkedIn and Facebook.
  • Knowledge of Photoshop and/or Illustrator is beneficial.
  • Flexibility to work various daytime hours.
