Job Title: Office / HR Manager
Reporting to: Managing Director
Hours: 40 hours per week
Location: Toronto, Ontario

Job Description:
We are seeking a proactive and detail-oriented Office / HR Manager to oversee the day-to-day operations of our office and lead the human resources functions of our company.

The principal duties are:

  1. Human Resources Support:
    Lead all recruitment activity, including posting job listings, scheduling interviews, and conducting initial candidate screenings.
    Support onboarding for new employees, including orientation, documentation, and training coordination.
    Maintain employee records and HR database entries, ensuring compliance with all legal and company regulations.
    Process monthly payroll and manage employee benefits administration.
    Assist with performance management processes, employee development, and training initiatives.
    Help with employee relations matters, acting as a point of contact for inquiries or concerns regarding workplace policies or procedures.
    Prepare documents for visa and work permits with assistance from immigration advisor where needed.
    Maintain current all engineering licenses for the company and employees where applicable.
    Support Global HR Manager with local HR inputs.
  2. Finance:
    Raising all sales invoices as per the agreed client payment timetables for multiple projects.
    Record financial transactions and maintain accurate ledgers.
    Reconcile bank statements and credit card accounts.
    Process payroll and ensure compliance with tax regulations.
    Manage accounts payable and receivable.
    Prepare and review financial statements, including balance sheets and income statements.
    Generate and submit tax filings and ensure timely payments.
    Prepare annual audit documents for Accountants.
    Assist with annual tax return preparation.
    Verification of incoming Inter-office invoices using timesheet entries.
    Perform weekly cost controlling (outstanding invoices/cash flow, etc.).
    Handle all outgoing payments to vendors.
  3. Office Management:
    Manage day-to-day operations of the office to ensure a smooth and efficient working environment.
    Organize and manage office events, meetings, and conferences, ensuring that logistics and resources are in place.
    Develop and implement office policies and procedures to promote a productive, healthy, and safe work environment.
    Support Global Head of Marketing with local marketing and business development tasks.
    Ensure completeness and accuracy in record-keeping, scheduling, and documentation.

Key Qualifications and Experience required:
Proven and demonstrable experience in office and human resource management.
Experience with budgeting, managing office expenses, handling financial reporting and bookkeeping (Quickbooks).
Strong organizational, time-management, and multitasking abilities.
Excellent communication and interpersonal skills in English.
Ability to work independently and collaboratively in a fast-paced environment.
Proficient in Microsoft Office and HR software.
Good understanding of HR processes, employment law, and workplace compliance.
