Accountability Objective

Under the direction of the general manager, functions as a part of the management team, providing on-site accounting support for all managers. Performs a variety of clerical and secretarial tasks necessary for the efficient operation of the office, including management of files, rental payments, rent increases, and reception duties.

Background/Qualifications
  • Graduate of a post-secondary education program in accounting.
  • Three years’ relevant experience required.
  • PC literate with understanding of information systems concepts.
  • Working knowledge of Windows, MS Word, MS Excel.
  • Excellent written and verbal English skills.
  • Ability to work independently.
Key Responsibilities
  • Participate in and contribute to the Verve Quality Improvement (VQI) program.
  • Establish and maintain all residents’ files, including enrollment on DCare.
  • Set up miscellaneous charges and cash receipts in DCare, maintain recurring charges, and prepare monthly resident statements.
  • Perform receptionist duties as required.
  • Record and deposit weekly payments from various sources and prepare deposit slips.
  • Maintain and update rental matrix with resident changes.
  • Prepare and maintain resident tax information.
  • Deposit all rental and miscellaneous cash and cheques regularly and submit deposits to the corporate office.
  • Promote resident direct deposit and prepare monthly summaries for the corporate office.
  • Handle rent increases, rent control forms, and notices.
  • Ensure residents receive yearly interest cheques on security deposits.
  • Process refunds upon resident death/discharge.
  • Respond to resident and family inquiries regarding billing.
  • Review aged receivables weekly, follow up on delinquent accounts, and report questionable accounts.
  • Hire, orient, schedule, supervise, and evaluate reception staff.
  • Organize department routines and ensure adequate coverage.
  • Lead department activities, evaluate performance, and implement improvements.
  • Chair staff meetings, prepare minutes, and organize in-services.
  • Participate in weekend duty manager rotation.
  • Maintain employee files, process payroll, and handle employee inquiries regarding benefits.
  • Ensure timely submission of accounting information and invoices to the corporate office.
  • Assist in financial analysis and budget preparation.
  • Maintain petty cash and supervise office supplies ordering.
  • Ensure office equipment functionality and perform confidential correspondence tasks.
  • Promote positive communication among staff, residents, families, and the public.
  • Participate in committee meetings and comply with health, safety, and corporate policies.
  • Complete mandatory training and perform other duties as assigned.
