Canadian Industrial Pumps is seeking an Office Manager & Bookkeeper to oversee daily operations in Surrey. Canadian Industrial Pumps (“CI Pumps”) is eagerly seeking a highly organized and proactive Office Manager & Bookkeeper to oversee the daily operations of our office. The ideal candidate will possess strong organizational management skills, exceptional phone etiquette, and a comprehensive understanding of sales dynamics. This role requires a combination of clerical expertise and financial knowledge to ensure the smooth functioning of our office environment. This pivotal role will play a key part in the operational efficiency & financial integrity of our Company.

Founded in 2000, CI Pumps is a leading value-added distributor of industrial pumps in Western Canada. The company has deep experience providing technical engineering and consulting services for pumps and pump systems in industries including mining, infrastructure, water & wastewater, oil and gas, pulp & paper, and construction. CI Pumps has a full service and repair shop for a wide variety of pumps.

What We're Looking For :

  • Experienced in office management or administrative roles, with a proactive approach to keeping things running smoothly.
  • Skilled in bookkeeping & basic accounting functions, with accuracy and reliability.
  • Proficient in Sage 50 or similar ERP / accounting systems.
  • Tech-savvy with strong working knowledge of Microsoft Office.
  • Clear and professional communicator, both in writing and in person.
  • Trusted to handle sensitive information with discretion and integrity.

Office Management Responsibilities :

  • Organize and maintain the office for optimal functionality to ensure efficient workflow within the team, including helping to prepare sales quotes, orders, invoices, packing slips, purchase orders, coordinate freight & logistics, and more.
  • Handle reception duties including phone management and caller direction.
  • Oversee company files and records, ensuring accuracy and completeness.
  • Ensure compliance with company policies and procedures while fostering a positive workplace culture.
  • Coordinate customer orders for shipment & manage incoming supplier shipments including physical shipping & receiving duties.
  • Inventory management for pumps, pump parts, and shop & office supplies.
  • Manage the company's financial records and transactions : customer invoices, purchase orders, supplier invoices, accounts payable, and accounts receivable.
  • Oversees the company’s accounts payable and accounts receivable functions.
  • Process biweekly payables to suppliers and employee expenses.
  • Handle monthly government remittances, including GST and PST.
  • Monthly inventory counts.
  • Complete month end financials to close books.
  • Work Location : all work will be in person at CI Pumps’ office in Surrey
  • Work Hours : 8 : 00 am to 4 : 30 pm from Monday to Friday
  • Number of Positions : 1
  • Job Type : Permanent, Full-Time
  • Compensation : salary will be commensurate with experience, education and certifications; range of $25 - $35 per hour (negotiable based on experience).
  • Employees are eligible for benefits after the 3-month probationary period.
  • Work Authorization : must be legally able to work in Canada.
