Job Description

The Office Manager is responsible for all aspects of office routines and clerical duties for residents and employees in the retirement residence. They will assist in maintaining a safe and secure environment for residents, visitors, and staff.

Responsibilities include but are not limited to:

  1. Responding to resident or family inquiries/concerns and ensuring appropriate action is taken within decision-making authority or escalating to the General Manager;
  2. Overseeing and coordinating front desk staff;
  3. Participating as a team member and supporting other team members;
  4. Maintaining accounting records for the residence;
  5. Preparing resident billings and handling billing/payment inquiries;
  6. Performing payroll duties for staff wages and salaries;
  7. Maintaining employee records related to hours, absences, and leave;
  8. Preparing bank deposits;
  9. Welcoming and orienting new residents, family members, and visitors;
  10. Communicating effectively and courteously with residents, family, visitors, and volunteers;
  11. Following health and safety policies, including fire and safety programs, and reporting hazards;
  12. Sorting incoming mail and managing outgoing mail;
  13. Organizing workflow, coordinating meetings, and scheduling appointments.

Ideal Candidates Will Possess:

  1. At least 2 years of related experience;
  2. Post-secondary diploma or certificate in financial management or bookkeeping;
  3. Experience in accounting or bookkeeping;
  4. Experience in a retirement or healthcare setting is an asset;
  5. Empathy and understanding of seniors and individuals with disabilities;
  6. Ability to interact patiently with staff, residents, families, and professionals;
  7. Strong written and verbal communication skills;
  8. Initiative, good judgment, and supervisory skills;
  9. Proficiency in Microsoft Office, especially Excel and Word.
