Position Summary:The Office Manager plays a crucial role in ensuring the smooth operation of the KVSLP La Ronge office and the effective administration of field projects. This position requires a proactive leader capable of balancing administrative excellence with cultural sensitivity, supporting both office staff and remote field teams.

Key Responsibilities:

  • Directly support the Controller in office management tasks and strategic assignments.
  • Supervise staff members in accounts payable, invoicing, and administrative positions for the La Ronge office.
  • Coordinate the staff workflow for accounts payable, invoicing and administrative assistants.
  • Oversee invoicing processes, verify field paperwork accuracy, and resolve discrepancies promptly. Final checks are sent to the Project Manager-Technical.
  • Support field staff, ensuring they have the administrative support to ensure efficient workflow.
  • Manage travel logistics, including flight and hotel bookings for all field staff.
  • Manage crew phone distribution, Fuel Cards, Visas, and files, including monthly reports.
  • Organize and lead new hire orientation, including documentation, IT setup, and other requirements to prepare for work.
  • Utilize software tools (Word, Excel, databases) for reporting, policy drafting, and data analysis.
  • Create a desk reference guide for all job duties.
  • Participate and lead the planning for all events and recognitions
  • Provide vacation relief for administrative staff as needed.
  • Foster a culturally inclusive workplace that respects Indigenous traditions and values.
  • Assist in office functions to improve staff morale.

  • Cultural Sensitivity:Demonstrate understanding of Indigenous cultures, particularly Cree traditions and recommend attendance in local cultural activities

Requirements:

  • 5+ years in office or administration.
  • Post-secondary education in office administration.
  • Demonstrated ability to manage a cross functional team
  • Proficiency in data entry and Microsoft Office Suite.
  • Valid Saskatchewan driver’s license (travel to Saskatoon periodically required).
  • Strong organizational, analytical, and multitasking skills.
  • Flexibility, reliability, and ability to work independently or in a team.
