We are currently looking for an Office Manager to join our Calgary office. This is a Full Time In Office Position.

Responsibilities

  • Manage staff-level onboarding and offboarding, with support from the national HR team
  • Approve staff-level vacation and personal leave requests, coordinating coverage where needed
  • Update policy documentation and employee guides; respond to staff policy-related inquiries
  • Lead staff-level talent management and acquisition efforts, including recruitment, selection, and engagement initiatives
  • Support employee retention and help foster a positive, values-aligned organizational culture
  • Oversee trust compliance and regulatory requirements for the Law Society of Alberta
  • Address staff performance issues in collaboration with the national HR team
  • Conduct and coordinate performance reviews
  • Coordinate training initiatives across departments
  • Lead and support cross-functional project management initiatives
  • Ensure smooth day-to-day office operations
  • Coordinate office moves, renovations, and floorplan changes
  • Liaise with vendors for office equipment maintenance (e.g., dishwashers, coffee machines, etc.)
  • Coordinate with landlords on facility matters
  • Manage office-related budgeting and expenses (social committee, credit cards, general supplies)
  • Provide limited support with internal marketing and communications
  • Oversee the purchasing of office furniture, kitchen, and stationery supplies; maintain stock and supply levels
  • Oversee general office maintenance, including vendor management
  • Plan and execute key staff events (e.g., summer party, holiday celebrations, team-building activities)
  • Provide IT coordination support for onboarding, desk setups, and internal moves
  • Ensure all necessary desk hardware is in place for new hires
  • Assist IT with user account setup and end-user hardware / software support

What will help you succeed in this role?

  • HR Degree and / or previous relevant HR experience, ideally in a law firm or professional services firm environment
  • Knowledge of general office procedures and MS Office applications
  • Demonstrate excellent organizational and time management skills
  • Possess high problem-solving abilities
  • Possess great oral and written communication skills
  • Have keen attention to detail, with an ability to manage constraints
  • Ability to complete different tasks with varying complexity
  • Ability to take on challenges and utilize transferrable skills
  • Ability to work cooperatively and independently, while encouraging a supportive work environment
