Description

The Office Manager is responsible for coordinating and participating in a variety of administrative duties and special projects that drive the team's business goals forward.

This role will report to the Vice President and will manage a variety of administrative and operational tasks to help plan, build, and execute on business priorities including providing senior level administrative support to the Deputy Chairwoman and the Vice President while overseeing other administrative resources, and taking the lead on event planning.

The successful candidate must be a dynamic individual who is adept at balancing multiple, evolving priorities requiring a range of skills, who is an efficient self-starter who works well on a team, and who thrives in a fast-paced, intense, and exciting environment.

This role is based in Calgary, Alberta and requires working from the office Tuesday's, Wednesday's, and Thursday's. Note, the in-person office schedule may change from time to time depending on client engagements.

Key Accountabilities

  • Function as a team / office manager.
  • Own the execution of day-to-day operational activities for the team including overseeing and providing direction to other administrative resources to ensure service delivery and task coordination. This includes but is not limited to calendar management, expenses, travel, and general office management.
  • Provide senior level executive administrative support the Deputy Chairwoman and the Vice President.
  • Lead and support a high performing team, overseeing complex and diverse activities while ensuring adherence to operating standards and processes – perform quality checks and validation of work.
  • Maintain and be responsible for Calgary office physical space.
  • Work closely with the Vice President to define project requirements, scopes, and objectives, then action and delegate accrodingly.
  • Help set metrics for the delivery and execution of the projects assigned.
  • Be the liaison and key point of contact for internal and external partners for client engagements, communications, and other special project related tasks.
  • Establish and maintain excellent working relationships with internal and external partners.
  • Contribute to the research and production of internal and external communications, briefing documents, and other materials as required; ensure documentation that is prepared is accurate and properly reflects business intentions.
  • Be responsible for monitoring and managing the daily progress of projects, including task lists, and provide a weekly update to the team.
  • Ensure all aspects of projects are organized, on time, on budget, and professionally delivered.
  • Maintain relevant data management files.
  • Consistently exercise discretion in managing information and all matters of confidentiality.

Qualifications

  • Must be an effective manager.
  • Must work well in a team but also be able to prioritize and manage own workload to deliver quality results and meet – at times tight – timelines.
  • Demonstrated interest in working with women leaders and supporting TD's ESG initiatives.
  • Ability to thrive under pressure and in an ever-changing environment.
  • Self-starter, entrepreneurial mindset – ability to proactively identify opportunities and fill gaps to help ensure the team meets its business and ESG objectives.

  • Experience and / or Education

  • 7 or more years in a similar role or an undergraduate degree or certification in a relevant field of study.
  • Must be well versed in the full suite of Microsoft Office applications, including Excel, OneNote and Planner.
  • Geopolitical aptitude is an asset.
