Job description

We are seeking an experienced, detail-oriented, and dynamicAdministrative / Front Office Managerto lead daily operations and strategic practice growth at our Eye Clinic.

This role combines administrative excellence with operational leadership, and will oversee a team of 10 staff members. The ideal candidate has a strong understanding of clinical workflows, billing (OHIP and private), patient scheduling, and is also analytical—able to track KPIs, identify growth opportunities, and drive team performance.

Key Responsibilities:

1. Strategic & Operational Leadership:- Monitor and analyze clinic performance using key metrics (KPIs) to identify opportunities for operational improvement and revenue growth. - Work closely with the physician(s) to develop and implement short- and long-term business goals. - Hold weekly team meetings to communicate goals, review performance data, and resolve workflow issues. - Drive initiatives to improve patient satisfaction, referral volume, and operational efficiency.

2. Clinic Administration & Workflow Oversight:- Oversee day-to-day operations including patient scheduling, billing, inventory, and front-desk procedures. - Ensure all administrative staff are trained, supported, and held accountable to performance standards. - Maintain compliance with OHIP billing practices, documentation, and private pay services. - Ensure accuracy and timely submission of insurance forms and medical documentation.

3. Financial & Inventory Management:- Manage private and OHIP billing processes, including billing reconciliation and revenue tracking. - Monitor and control inventory levels of medical supplies and office consumables. - Forecast, plan, and approve supply orders to prevent shortages or overstocking.

4. Staff Management:- Supervise a team of ~10 administrative and clinical support staff. - Delegate daily tasks, approve schedules, and manage employee performance. - Assist with training and onboarding new team members. - Foster a positive, efficient, and accountable team culture.

5. Communication & Reporting:- Act as the primary liaison between physicians, staff, and external vendors/referral partners. - Prepare monthly performance reports including productivity, patient volume, financials, and staffing updates. - Maintain a professional, empathetic, and patient-centered communication approach.

Required Qualifications:

- Minimum 3 years’ experience in a similar administrative or office manager role, preferably in a healthcare setting.

- Demonstrated ability to analyze data, set goals, and drive operational improvements.

- Experience managing or leading a team, including performance reviews and workflow delegation.

- Proficient with medical EMR systems and office software (Microsoft Office Suite). - Excellent organizational, time management, and multitasking skills.

- Strong interpersonal and communication skills, both verbal and written.

- Ability to handle sensitive information with confidentiality and discretion.
