Our dynamic, reputable client is looking to bring on an Office Coordinator to join their busy, not-for-profit organization located in downtown Calgary.

Providing administrative support to office staff and guests, the ideal candidate will have excellent interpersonal skills, thrive on helping others, and enjoy a variety of tasks throughout their day.

As the go-to person for the office, this person must be a proactive problem solver with a knack for anticipating needs and working well within a close-knit team. This individual will also play a crucial role in event planning, so previous experience in coordinating and organizing events is a huge benefit.

Duties and Responsibilities:

  • Provide exceptional customer service in person, as well as over the phone and via email
  • Welcoming visitors into the office and directing them appropriately
  • Maintaining, cleaning, and organizing the reception and office areas
  • Arranging catering as required
  • Ordering office supplies
  • Dealing with bank deposits, invoice reconciliations, receiving and tracking payments, and monitoring the general inbox
  • Managing mail, couriers, filing, photocopying, shredding, archiving, etc.
  • Processing membership applications, renewals and terminations
  • Create and maintain membership files, updating them as needed
  • Event planning (organize catering/menus, create name tags/identification, manage company swag and handouts, etc.)
  • General administrative support for staff/members as needed
  • Other tasks as required

Education:

  • High School Diploma or equivalent

Experience:

  • 2+ years of administrative experience is required
  • Previous experience in event planning is preferred
  • Industry related experience is an asset

Base Salary:$52,000 – $55,000 per year

  • Benefits after probationary period

Work Hours:

  • Monday to Friday
  • 8:00am – 4:30pm (Monday – Thursday)
  • 8:00am – 4:00pm (Friday)

Additional Notes:

  • This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
