Job description

Job Summary :

We are seeking a highly organized and detail-oriented Office Controller / Administrator to oversee administrative operations and support financial functions in a fast-paced environment. The ideal candidate will have hands-on experience with Sage 50, inventory management, and accounts payable / receivable (AP / AR). A background in the construction industry is a strong asset.

Key Responsibilities :

Oversee day-to-day office operations to ensure smooth administrative workflow.

Use Sage 50 for bookkeeping, general ledger entries, and generating financial reports.

Manage inventory records, conduct stock tracking, and coordinate reorders and deliveries.

Handle accounts payable and receivable : process invoices, reconcile accounts, and manage payment cycles.

Liaise with vendors, clients, and subcontractors regarding payments, invoicing, and account status.

Assist in budget preparation, financial forecasting, and monthly reporting.

Support payroll preparation and maintain confidential employee records (if applicable).

Perform general administrative duties including phone and email correspondence, document filing, and office supply management.

Provide project support and assist with permits, scheduling, or compliance tracking as needed. Qualifications :

Proven experience as an Office Controller, Administrator, Bookkeeper, or similar role.

Proficiency with Sage 50 (required).

Solid understanding of inventory control and AP / AR processes.

Excellent attention to detail and accuracy in data entry and recordkeeping.

Strong organizational and time management skills.

Proficient in Microsoft Office Suite (Excel, Word, Outlook).

High school diploma or equivalent required; associate degree or certification in office administration, bookkeeping, or accounting preferred. #LI-LM1
