T
he Office Assistant, Summer Contractis a full-time, temporary position reporting to the Director of People and Culture in the Guelph, Ontario Home Office Mon-Fri. Fridays the office is closed starting June 6, those days will be remote.
At MAFC it is vital that our Home Office staff remain focused on our Global Mission and Vision. It is also critical to create a community of engagement and connectedness with the Canadian based staff who work in the hybrid model or completely remote.

Key Responsibilities:
Office Assistance – In Coordination with Office Manager
· Maintaining inventory of branded clothing, swag, promo materials and stationery for staff
· Facilitate mailroom operations and inventory tracking:
o Ensure adequate supplies of office stationery and general office supplies
o Maintain postage machine usage
o Manage outbound Purolator, priority post, packages, courier services, and other correspondence as needed.
· Facilitate vendors’ services as needed/booked. IE: cleaning, handyman, locksmith, landlord, etc.
· Receive deliveries, deliver parcels to Post Office
· Assist in keeping Office Calendar up to date
· Perform back up for incoming switchboard calls
· Manage kitchen supplies:
o Linens
o Coffee, Tea, necessary supplies
o Tuck Shop
· Hospitality
o Manage food for staff meetings, monthly birthdays and pizza, BBQ lunches, other
o Support missionary Home Office visits and Candidate Orientation as required
Document/Policy control - In Coordination with Director, People & Culture and Quality, Safety & Security Manager
· Create and maintain a register of all manuals, policies, and controlled forms, including a schedule for document review and amendments.
· Control access to documents and ensure proper distribution to relevant stakeholders
· Facilitate the document amendment process, including tracking amendment requests, obtaining approval for requested changes from the document owner, editing of the document and distributing and tracking updated documents.
· Apply document control procedures to ensure the integrity of company documentation, including the management of printed documents and protection of electronic documents.
· Working with various departments, assisting in the documentation of policies and procedures, following established document standards; creating templates to assist in the creation of standardized documentation.
Required Qualifications, Knowledge, Skills & Abilities:
· Proficiency in MS Office with expertise in Word, Excel, and PowerPoint
· Strong sense of ethical integrity and the ability to handle sensitive/confidential information with tact and discretion
· Ability to work individually as well as part of a team
· Exceptional verbal and written communication skills
· Clear police record and vulnerable sector check
· Driver’s License, ability to work in office full time
