As we continue to scale, we are seeking to expand our team with a dynamic Office and Payroll Administration Manager reporting to Head of Human Resources and Administration.

About the Role:

We are looking for a highly organized and detail-oriented Office and Payroll Administration Manager to oversee daily office operations, manage employee payroll using ADP Workforce Now, and coordinate company events that foster employee engagement and culture. This role is ideal for someone who enjoys variety, takes initiative, and thrives in a dynamic, growing environment. Ability to speak Mandarin or Cantonese is highly desirable.

Key Responsibilities:

Payroll Administration

  1. Run accurate and timely payroll (semi-monthly) using ADP Workforce Now
  2. Process payroll changes, time-off updates, terminations, and bonuses
  3. Maintain employee records and ensure compliance with payroll legislations
  4. Support year-end tax documents (T4s), ROEs, and audits
  5. Assist with benefits administration and employee payroll inquiries

Office Administration

  1. Manage and maintain smooth daily office operations
  2. Liaise with building management and service providers
  3. Handle office and pantry supply inventory, equipment upkeep, and general workplace logistics
  4. Coordinate office seating plans, access cards, and work closely with IT team to ensure IT/equipment needs are met
  5. Support onboarding and offboarding logistics in collaboration with HR and IT
  6. Provide general administrative support across teams

Employee Engagement & Event Planning

  1. Collaborate with HR to plan and coordinate employee events including team socials, cultural celebrations, all-hands meetings, and seasonal parties
  2. Work closely with HR to promote employee engagement and create a positive work environment
  3. Manage event logistics including budgeting, venue coordination, supplies, catering, and communications
  4. Bring creative ideas to enhance company culture and internal event programming

Qualifications:

  • 2+ years of hands-on payroll processing experience with ADP Workforce Now
  • 5+ years of office administration experience, including event coordination
  • Excellent organizational and multitasking skills
  • Strong attention to detail and ability to work independently
  • Experience managing confidential information with professionalism
  • Great communication and interpersonal skills
  • Proficiency in Microsoft Office
  • Mandarin/Cantonese language skills are highly desirable
