Job description

The LIFE Institute is a leader in life-long learning, inspiring and fulfilling a community of adults 50+ throughcontinuing educationat Toronto Metropolitan University (formerly Ryerson University). The LIFE Institute enables adults age 50+ to pursue their passion for life-long learning through a wide range of educational courses, activities and related opportunities to volunteer.

We are currently seeking an exceptional Office Administrator who can assist the organization to continue to grow and prosper in an exciting new direction that meets the needs of our members. This position is an integral part of a small office team, reporting to the Program Manager, and encompasses two primary areas of responsibility, Office Administration and Quickbooks Online and Data Entry. Office location is on the Toronto Metropolitan University campus in downtown Toronto.

OFFICE ADMINISTRATOR (Permanent, Full-time)

Office Administration
  • Provide support to administrative and logistical systems related to general office administrative duties.
  • Assist with website content update, communication and campaigns creation and social media posts for strategicmarketing purposes.
  • Assist with online membership registrations, registration for courses, events, clubs and activities and processing withdrawals.
  • Respond in a timely manner to all member enquiries including assisting members with registration and troubleshooting related issues.
  • Coordinate, manage and generate automated course evaluations and various automated reports.
  • Support and uphold LIFE’s policies and procedures with members and volunteers.
  • Organize the logistics of the Annual General Meeting.
  • Ensure electronic filing of all important information and reports in the respective shared drives.
  • Assist with LIFE’s social media posts, video conferencing platforms and website as directed.
  • Provide support to instructors with their audio-visual requirements as required.
QuickBooks Online and Data Entry
  • Data entry of financial transactions using QuickBooks Online.
  • Preparation for all monthly financial reports as required by the bookkeeper and treasurer;
  • QuickBooks Online data entry of accounts payable and receivable, preparation of online payments;
  • Process refunds both in Paypal and YM and keep records of all such transactions.
QUALIFICATIONS
  • Demonstrated 3 – 5 years’ experience in office administration
  • Post-secondary education preferred or proven equivalent experience
  • Proficient in QuickBooks online and general accounting
  • MS Office Suite, Google Workplace, Adobe Pro, Canva
  • Knowledge of Survey Monkey
  • Good understanding of optimizing social media outlets an asset
  • Experience with member management software, website content management and videoconferencing platforms
  • Excellent customer service and interpersonal skills
  • Excellent communication both oral and written
  • Excellent time management skills
  • Ability to adhere to tight and competing deadlines
  • Solid organizational and problem-solving capabilities
  • Good conflict resolution skills
