Job Description

Under the supervision of the Client Services Manager, this position is responsible for ensuring smooth front-office operations, supporting laboratory logistics, and providing excellent service to clients. The ideal candidate will be organized, proactive, and comfortable working in a fast-paced scientific environment.

  • Client interactions + front desk

Greet clients and visitors in a professional and friendly manner.

  • Receive sample submissions, sign paperwork, and provide bottle orders.
  • Payment processing
  • Accept and process client payments (cash / card / cheque)

  • Issue receipts and maintain accurate financial records.
  • Sample management
  • Assist with receiving and login samples

  • Managing the sorting of samples.
  • Ensure proper labeling and documentation of all incoming samples.
  • Bottle order production
  • Prepare and assemble bottle orders for clients based on testing requirements.

  • Maintain inventory and order as needed.
  • Collections Coordinator
  • Organize and schedule payment collections with clients by phone and email.

  • Track and follow up on outstanding accounts.
  • Qualifications
  • High school diploma or equivalent post-secondary education in administration or environmental sciences is a plus.
  • Previous experience in an admin or customer service role, preferably in a laboratory or technical setting, is a plus.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office suite and basic data entry systems.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
