JobOverview:

TheReceptionistwillplayacrucialroleinmaintainingthesmoothdailyoperationsoftheofficeandprovidingawarm,professional,andwelcomingatmosphere.Thepositionrequiresahighlevelofprofessionalism,organizationalskills,andtheabilitytomanagemultipletasksefficientlyinafast-pacedenvironment.Youwillbethefirstpointofcontactforvisitorsandclients,whilealsosupportingadministrativefunctionsandinternalofficetasks.

KeyResponsibilities:

  • FrontDesk&VisitorManagement:Greetclients,visitors,andguestsinawarm,professionalmanner,reflectingthehigh-endbrandofStudioMunge.
  • Answeranddirectincomingcalls,takemessagesandprovideinformationasneeded.
  • Managemeetingandconferenceroomschedules,ensuringsmoothcoordinationforclientandinternalmeetings.
  • AdministrativeSupport&OfficeOrganization:Provideadministrativesupport,includingfiling,documentmanagement,andorganizingofficesupplies.
  • Handleincomingandoutgoingmail,packages,anddeliveries.
  • Assistinschedulingappointmentsandmanagingstaffcalendars.
  • Assistwithpreparationandcoordinationofclientmeetingsandevents,includingsettinguproomsandarrangingrefreshments.
  • DataEntry&Record-Keeping:Assistwithmaintainingaccuraterecordsofclientcontacts,appointments,andcommunicationlogs.
  • Performdataentrytasksrelatedtoofficeoperations,ensuringthatfilesanddocumentsarecorrectlyorganizedinbothdigitalandphysicalformats.
  • KitchenandOfficeSuppliesManagement:Managetheofficekitchen,ensuringcleanlinessandstockingofessentialitems,suchassnacks,beverages,andkitchensupplies.
  • Overseetheupkeepandoperationofthecoffeemachineandotherkitchenappliances,coordinatingmaintenanceasnecessary.
  • Regularlyorderofficesupplies,ensuringthatstocklevelsareadequateandwell-maintained.
  • Coordinatewithvendorsforoffice-relatedordersandsupplies.
  • ClientRelations&Communication:Serveasaliaisonbetweenthestudioandclients,assistingwithclientinquiriesandprovidingexcellentcustomerservice.
  • EnsureclientcommunicationsarealignedwithStudioMunge’sluxurybrandingandservicestandards.
  • TeamCollaboration&OfficeSupport:Collaboratewiththedesign,operations,andmanagementteamstoensuretheefficientoperationofthestudio.
  • Assistwithplanningandorganizingin-houseeventsorexternaleventsinvolvingthecompany.
  • Helpcoordinatelogistics,catering,andset-upformeetingsorclientpresentations,makingsurethateverythingisreadybeforeguestsarrive.
  • Ensurethestudioenvironmentremainsorganized,welcoming,andreflectiveofStudioMunge’sdesignethos.

Qualifications:

  • Experience:Previousexperienceinanadministrativeorreceptionistrole,preferablyinaluxury,design,orhospitalityenvironment.
  • Experiencehandlingofficesupplies,kitchenmanagement,andvendorcoordinationishighlydesirable.
  • Knowledgeoforwillingnesstolearnofficemanagementandprojecttrackingsystems.
  • Skills:Excellentcommunicationandinterpersonalskillswiththeabilitytomaintainaprofessionaldemeanoratalltimes.
  • Strongorganizationalandmultitaskingskillswithkeenattentiontodetail.
  • Abilitytoworkindependentlywhilealsocollaboratingeffectivelywithateam.
