What You'll Do:

As our Office Administrator, you will be instrumental in ensuring the smooth daily operations of our dynamic head office by..

  • Elevate the Front Office Experience: Warmly greet visitors, efficiently handle multi-line calls and emails, and conduct professional client calls for information, appointments, and solutions.
  • Drive Efficient Deal Flow: Initiate and maintain project files within Dotloop and our CRM system, ensuring consistent data accuracy and easy accessibility for the team.
  • Orchestrate Schedules & Logistics: Proactively manage calendars by scheduling property tours, consultant meetings, city hearings, and internal milestones, with diligent tracking of deadlines and reminders.
  • Streamline Operations & Digital Organization: Maintain organized digital filing (following conventions), update procedures, manage supplies, and suggest workflow improvements.
  • Support Engaging Marketing Initiatives: Create quick visual drafts in Canva for internal communications. Contribute to occasional social media updates. Organize and maintain marketing collateral for easy access.
  • Coordinate Memorable Events: Provide essential support in the execution of investor and client events (e.g., gatherings, property viewings) by coordinating materials, managing guest lists, and assisting with logistics.

What You'll Bring:

  • Minimum one year of administrative experience
  • Strong working knowledge of G-Suite and Microsoft 365, including intermediate proficiency in Excel and cloud-based file systems (SharePoint/Google Drive).
  • Demonstrated ability to accurately manage multiple concurrent priorities while maintaining a strong client-focused approach.
  • Exceptional written and verbal communication skills, with the ability to draft professional emails requiring minimal revisions.
  • A proactive and detail-oriented approach to problem-solving and efficient task management.

Bonus Assets:

  • Familiarity with Ontario real estate processes, terminology, and standard documentation.
  • Basic understanding of bookkeeping principles and accounts payable processes.
  • Experience using Canva or Adobe Suite for the rapid creation of marketing materials.
  • $19 – $22 per hour (commensurate with experience)
  • Direct exposure to a diverse portfolio of innovative development projects, with clear potential for career growth into roles such as Project Coordination or Marketing Assistant.
