Job description

We are seeking a highly organized and detail-oriented Office Administrator / Bookkeeper to join our team at our customer site located in Markham. This is a hands-on, in-person role that plays a key part in ensuring the smooth operation of both the financial and administrative functions.

The ideal candidate will have a minimum of 2 years of experience in accounting, office administration, or a related field, with a solid understanding of day-to-day financial processes and general office support. This position is well-suited for someone who enjoys working in a collaborative environment, takes the initiative, and thrives in a fast-paced setting.

Responsibilities :
  • Monitor outstanding payments, prepare aging reports, and follow up with clients.
  • Balance bank accounts, credit cards, and petty cash. Resolve discrepancies and support accurate financial records.
  • Prepare client invoices and ensure proper documentation for audits and reporting.
  • Manage purchase orders, vendor coordination, and procurement documentation.
  • Welcome visitors, answer phone calls, and assist with scheduling and meeting room bookings.
  • Filing, data entry, and coordinating maintenance for office equipment.
  • Coordinate meeting room bookings and support internal scheduling.
Qualifications :
  • Diploma or degree in Accounting, Business Administration, or a related field.
  • 2+ years of experience in accounting or office administration.
  • Proficient in QuickBooks Online and Microsoft Office Suite.
  • Strong organizational and communication skills.
  • Fluent in English (required); Mandarin and/or Cantonese (preferred).

Pay : $50,000.00-$60,000.00 per year
