Job description

We are currently hiring for a 4-month contract position beginning in August, with workdays on Monday, Tuesday, and Thursday from 9 : 00 AM to 3 : 00 PM . Our ideal candidate is open to continued work, when the contract ends with potential for full-time hours.

We’re excited to welcome an Administrative Specialist who will play a key role in supporting the daily operations of our growing clinic.

Key Responsibilities

  • Greet and welcome clients warmly
  • Provide professional and responsive customer service
  • Handle phone and email inquiries promptly
  • Connect clients to appropriate therapists using basic assessment skills
  • Uphold confidentiality and privacy standards
  • Schedule and manage appointments using JaneApp (training provided)
  • Manage payroll, staff invoicing, and record keeping (training can be provided)
  • Coordinate with therapists and staff to ensure smooth operations
  • Assist with billing, payment processing, and accounts receivable
  • Perform weekly deposit reconciliations and resolve discrepancies
  • Keep financial records accurate and up to date
  • Maintain financial discretion and confidentiality
  • Daily office tidying to ensure a pristine environment
  • Develop and refine systems for office efficiency
  • Handle supply ordering and inventory management
  • Receive and organize deliveries and stock items appropriately

What You’ll Need to Succeed

  • Exceptional customer service and communication skills
  • Strong problem-solving abilities and a proactive attitude
  • Previous experience in administration or customer service
  • Experience with financial reconciliation and record keeping
  • High attention to detail and organizational skills
  • Proficiency with software tools for financial and administrative tasks
  • Ability to multitask in a fast-paced environment
  • Friendly and professional demeanor
  • Capacity to work both independently and collaboratively
  • Integrity and discretion in handling confidential information
  • Understanding of sales and value-based client interactions
  • Physical capability to climb stairs / lift 30 lbs
