Job description

We're looking for a proactive and detail-oriented Office Administrator to join our team in a part-time, in-office capacity. Reporting directly to the President, you'll play a key role in keeping our operations running smoothly — from coordinating travel and supporting the executive team, to keeping the office stocked, organized, and humming along.

KEY RESPONSIBILITIES

Executive & Admin Support

  • Manage the President’s calendar and meeting bookings
  • Handle email communications and light correspondence
  • Track and enter expenses into spreadsheets and QuickBooks
  • Prepare and format documents, presentations, and reports
  • Maintain confidential files and records

Travel Coordination

  • Book travel for managers, field staff, and drivers
  • Handle credit card authorizations and track hotel receipts
  • Coordinate with departments on travel documentation

Office Operations

  • Order and manage office supplies
  • Liaise with contractors for office maintenance and repairs
  • Accept and log deliveries and shipments
  • Cover front-desk phones

Onboarding & IT Coordination

  • Assist IT team with desk setups and laptop distribution for new hires
  • Ensure office equipment is ready for new staff

Communications & Events

  • Support company events
  • Assist with CRM (Customer Relationship Management) updates

Qualifications

  • 2+ years of experience in office administration or executive support
  • Proficiency with Google Workspace, Microsoft Office, and QuickBooks
  • Excellent written and verbal communication skills
  • Strong organization and multitasking ability
  • Discretion in handling confidential information
  • Bonus: Familiarity with HubSpot or CRM tools
