Overview

Office Administrator

COPE Local 343 invites applications for the position of Part-time Office Administrator. This is a non-unionized position.

Position Summary

The part-time, permanent position of Office Administrator will report to the COPE Local 343 President and Treasurer and is responsible for performing the day-to-day operational duties for the Local.

Duties and Responsibilities
  • Control correspondence; approve supply requisitions; liaise with other agencies and organizations; update organizational memberships; maintain office equipment
  • Maintain the membership database by entering new or updated information
  • Provide front line services for members by determining the nature of inquiries, responding directly to emails, and phone calls, or referring matters to appropriate individuals
  • Type letters, reports, and general correspondence
  • Process daily mail by receiving, and sorting incoming mail, and courier packages, send outgoing mail, and arrange courier service to ensure mail is sent to the appropriate individuals and / or locations
  • Perform all financial transactions related to bill payments and processing of expense forms using QuickBooks Online; produce financial statements and prepare reports and summaries for the Executive Board meetings; prepare bank deposits, payroll, and Revenue Canada / WSIB reconciliations
  • Reconcile the union dues remittances received from COPE Ontario monthly
  • Maintain office files by filing paperwork, retrieving information, and initiating new or revised files to ensure information is retained properly
  • Prepare for annual audit and trustee reports by corresponding with the auditors and trustees and retrieving the files, along with documents they need to complete the audit and trustee reports
  • Assist in organizing biennial general meetings, conventions, and other events held by the Local, including liaising with WE Travel to support the booking of travel and accommodation for members for both local events and for unit related meetings.
  • Miscellaneous other duties as assigned.

The Part-time Office Administrator shall communicate with the Executive Board through the President / Treasurer or their designate as necessary, and shall report any absences due to illness, etc. to the President / Treasurer or their designate.

Salary, Benefits and Working Conditions
  • The Part-time Office Administrator shall be required to work one 8-hour day per week in accordance.
  • Occasionally, an additional day per week may be required as per operational needs. Any change to this schedule shall be agreed to between the President or Vice President or their designate and the Part-time Office Administrator.
  • The position pays an hourly rate of $41.55 for hours worked.
  • Wages shall be paid bi-weekly.
  • In lieu of benefits, COPE Local 343 agrees to pay the Part-time Office Administrator the following : 4% in lieu of holiday pay and 6% in lieu of benefits. This 10% of gross earnings shall be added to each pay period.
  • Probationary period of three months from the date of hire.
