Job Overview:
Are you a cookie lover? We have a fantastic opportunity for an Office Administrator based in our bakery in Montreal, Canada! The Office Administrator will be responsible for handling the administrative operations of the Montreal Bakery facility. This role serves as the administrative backbone of our operations, providing essential support to ensure smooth daily operations while maintaining professional standards in all communications and interactions. The position requires strong organizational skills, discretion in handling confidential information, and the ability to support both operational and employee-related administrative functions.
Key Responsibilities:
Communications & Customer Support:
• Handle phone calls, emails, and inquiries in a professional manner
• Management of incoming and outgoing mail correspondence
• Greet and assist visitors to the facility
• Provide administrative support for sending product samples and customer support activities
Administrative Operations:
• Process invoices and maintain accurate financial records
• Complete expense reports and produce other reports as requested
• Perform general office tasks including filing, scanning, and supply management
• Maintain office files and ensure proper document organization
• Maintain the office space to ensure it is clean, safe, and that office equipment is in good working order
Employee Support & Records Management:
• Track attendance and assist with tracking key production worker metrics
• Organize and maintain employee records with accuracy and attention to detail
• Provide support for employee engagement initiatives
• Manage sensitive and confidential matters related to personnel
• Protect the security of information, data, and files
Qualifications:
• Proficiency in both French and English, both spoken and written (required)
• Excellent communication and interpersonal skills
• Professionalism, tact, discretion, and strong attention to detail
• Proficiency in Microsoft Office tools, including Teams, Word, Excel, and PowerPoint
• Strong organizational and file management skills
• Ability to maintain confidentiality and handle sensitive information with discretion
• Ability to work independently, efficiently, and manage time effectively
• Must be currently eligible to work in Canada
Preferred Qualifications:
• Previous administrative experience in manufacturing or food production environment
• Experience with customer service and sample coordination
• Knowledge of basic accounting or invoice processing
• Familiarity with employee records management systems
Working Conditions:
• Full-time position based in Montreal, QC bakery facility
• Office environment within a manufacturing facility
