Job description

Our client is an investment management firm. They seek an Office Administrator to join their Montreal, Quebec office.

Responsibilities

  • Welcome visitors and coordinate in-person and virtual meetings
  • Arrange daily food deliveries with caterers and suppliers
  • Provide support to internal teams and prepare for onsite meetings
  • Produce high-quality emails and messages across the organization
  • Maintain the office’s environment and liaise with cleaners and building management
  • Manage the office stationery, business cards, and company-branded equipment
  • Ensure meeting rooms are tidy, well-stocked, and ready to use
  • Oversee inbound/outbound mail and distribute to employees
  • Use Workday to submit office expenses and review expense reports
  • Work with our Technical Service Desk team to coordinate desk moves

Requirements

  • Bachelor’s degree
  • 3+ years of administrative experience
  • Previous experience in the finance industry is preferred
  • Experience using an issue tracking system
  • Skilled with Workday for expensing is a bonus
  • Prior use of floorplan management software is a bonus
  • Confident learning using software and internal platforms
  • Skilled in MS Office Suite (Outlook and Excel)
