The Job Requirement:
Communication and Customer Service:
- Answer phone calls, take thorough messages, receive clients and guests promptly, and manage the schedule for meeting spaces and conference room bookings.
- Review and sort all incoming mail.
- Assist in packing & coordinating outgoing mail/boxes through various carriers.
- Coordinate deliveries, creates shipping documentation and following-up with couriers during the transit process.
- Answer the door, and ensure that our security cameras and system are in good order daily.
- Communicate with all guests about our indoor shoe policy, and offer a friendly welcome into our studio. Ensure we have a good and clean stock of slippers for guests.
Office Management and Operations:
- Keeps office in top shape, making it a comfortable environment we can all be proud of and enjoy.
- Fulfils ordering needs (office, hardware, PPE, kitchen and janitorial supplies, etc.).
- Oversees maintenance of internal office files, including contracts with vendors & suppliers.
- Maintains office equipment (computers, security, telephones, music etc.), completes preventive maintenance, troubleshoots failures, calls for repairs; and monitors equipment operation.
- Maintains office cleaning schedule & ensures a clean and safe working environment.
- Maintains office furnishings and spaces (monitor and keep things in tidy, clean, organized and good condition).
- Perform any additional duties as needed to make the studio environment friendly and welcoming, including cat feeding/caretaking, assisting in food ordering and planning for luncheons and team events, etc.
- Support the design team and production team with printing or production assistance when available
- Maintain an accurate and up-to-date online inventory sheet of all materials, including but not limited to supplies, project archives, library, gifts, products and publications. Ensure that the counts correspond to the physical count at all times.
- Support the team with logistics and on-site help at the company’s events and projects.
Outsourcing and Procurement Co-ordination:
- Manage vendors, delivery timelines & coordinates receiving of materials.
- Source out new vendor contacts, calculate estimates and order materials required for project completion.
- Coordinate the shipment of supplies, materials or projects to the studio, ensuring they arrive in excellent condition for use (overseas and local shipping)
- Coordinate shipment schedules with freight forwarders, carriers, team, and warehouse to ensure seamless process that is on-time and on-budget
- Work with the team to ensure that any files going to vendors are accurate and production-ready.
- Work with vendors to ensure that the production quality of all product types is to our company’s standard of excellence, which may include but is not limited to coordinating sampling and tests, properly communicating the scope, timing and details of the project, and supporting on-site for installation or application on a needs basis.
Health and Safety:
- Will play an active role in the company’s Joint Health and Safety Committee.
- Monitors, coordinates, and enforces Health & Safety policies for the office.
Qualifications & Skills
- Experience in office administration, logistics, vendor coordination, or similar roles.
- Strong communication and customer service skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Proficiency with office software (Google Suite, Microsoft Office, etc.).
- Familiarity with shipping platforms and inventory tracking tools is an asset.
- A passion for stationery, design, and supporting creative teams.
