About the Role

We’re looking for an organized, proactive, and tech-savvy Office Administrator who thrives in a fast-paced environment and is passionate about making things run better. This role is central to our operations, providing day-to-day support across our service lines while maintaining the systems, schedules, and processes that keep our team productive and our clients delighted. This is more than a traditional admin role. You’ll have the opportunity to take on increasing responsibility in areas such as accounts receivable and payable, as we continue to grow and evolve our internal operations. Responsibilities

  • Be the first point of contact for clients and visitors, handling communications with professionalism and warmth.
  • Support the day-to-day functioning of the office, including managing calendars, scheduling meetings, and preparing documents.
  • Leverage your strong computer skills to manage documents, track data, and support team members using tools like SharePoint, Microsoft Office, and CRM/project management platforms.
  • Troubleshoot tech and equipment issues and liaise with vendors and IT support as needed.
  • Keep our systems sharp—organizing digital files, refining workflows, and recommending better tools and processes for efficiency.
  • Provide logistical support for meetings, webinars, workshops, and events (both virtual and in-person).
  • Prepare presentations, reports, and internal communications with a high standard of accuracy and clarity.
  • Support internal coordination across service lines, helping to keep information flowing and projects on track.
  • Take on special projects that help enhance operational excellence—including future responsibilities for accounts receivable and accounts payable.

Qualifications

  • 3+ years of experience in office administration or administrative support, ideally in a fast-paced professional services or consulting environment.
  • Advanced proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, SharePoint) and familiarity with cloud-based tools and project management systems (e.g., Trello, Asana).
  • Strong organizational skills and time management—you’re someone who stays two steps ahead.
  • Excellent verbal and written communication skills, with a service-first mindset.
  • A keen eye for detail and a commitment to confidentiality.
  • Tech confidence: you’re the person others turn to when a system isn’t working.
  • A collaborative spirit and a willingness to jump in wherever needed.
  • Experience or interest in basic financial operations (invoicing, tracking expenses, or vendor payments) is an asset and may grow into a more defined responsibility over time.
  • Relevant education or certification in office administration, business, or related fields is a plus.

Work Environment

This is an in-office role based in our dynamic, team-oriented workspace. Standard business hours apply, with some flexibility to accommodate special events or client needs. The position involves regular computer and office equipment use.
