Office Administrator Part-Time Casual

Position Reports to: Crystal Alseth, Senior HR Business Partner

Department: EAG Shared Services

Position Summary:

To help the organization achieve its goals by ensuring a well-maintained, organized, and efficient workspace, as well as creating a positive and motivating work environment.

Responsibilities:

  • Answering phones on a multi-line switchboard;
  • Assisting the Executive Services team with company events;
  • Maintaining a clean and organized office environment, including inspecting facilities at prescribed frequencies (daily, twice daily, etc.), and emptying the dishwasher;
  • Watering plants;
  • Maintaining a cleaning schedule for company fridges;
  • Maintaining office equipment, including coffee makers (ensuring copiers are operational and fully stocked with toner, paper, cleaning supplies, etc.);
  • Ensuring all storage areas are organized, maintained, and controlled;
  • Monitoring office supplies inventory and placing orders;
  • Supporting meeting needs within the Kelowna office (ordering catering, etc.);
  • Maintaining healthy snack options in the employee lounge (fruit, etc.);
  • Supporting all employees with company travel arrangements (hotel bookings, airline tickets);
  • Greeting guests;
  • Receiving and shipping courier packages;
  • Opening and sorting mail;
  • Updating postage meter;
  • Scheduling shredding of company documents;
  • Receiving and recording Dilworth Heights rent payments;
  • Communication and booking concert tickets;
  • Supporting the Executive team with administrative tasks;
  • Coordinating and training office key/fob assignments, including regular auditing;
  • Coordinating and tracking desk assignments and parking spaces, and monitoring compliance with the use of a desk booking software system;
  • Corporate VISA reconciliation;
  • Onboarding new employees on office protocols, including follow-up at prescribed intervals or as needed, and ensuring new desk assignments are set up and equipped for new hires;
  • Conducting company fitness facility orientations and ensuring access is restricted to trained and authorized individuals;
  • Stocking Crowley apartment with necessities.

This casual, part-time position requires the successful candidate to work on-site at our Kelowna office. The typical workday runs from 8:30 AM to 4:30 PM. The monthly schedule is subject to change, offering some flexibility while meeting operational needs.

The wage range for this position will be discussed during the interview stage, considering candidate qualifications and experience.
