We specialize in tax, accounting, and advisory services designed to optimize financial outcomes for individuals, small businesses, and corporations.

The Role

We are looking for a motivated and detail-oriented Office Administrator to join our team. This vital role supports our team while ensuring smooth office operations and providing excellent client service.

Key Responsibilities

  • Answer and manage all incoming office phone calls professionally
  • Schedule all office appointments, and manage calendars
  • Manage the client onboarding process, including collecting client details and documents, setting up client profiles in internal systems, preparing engagement letters, organizing digital files, and following up to ensure timely completion of onboarding steps
  • Assist with basic bookkeeping tasks and support the preparation of personal tax returns
  • Handle CRA inquiries and communicate relevant information to clients and staff
  • Respond promptly and courteously to client emails, inquiries, and questions
  • Oversee general administrative functions, including managing office documentation, organizing digital and physical files, and implementing systems that support the smooth, efficient daily operations of the office

Mandatory Qualifications

  • Undergraduate degree or diploma in Business Administration or related field
  • Strong organizational and multi-tasking skills, with adaptability to changing priorities in a fast-paced environment
  • Proven typing skills with a focus on accuracy and attention to detail
  • Strong interpersonal and communication skills, able to interact effectively with clients and colleagues

Skills Considered an Asset

  • Experience working in an accounting or finance environment is considered an asset
  • Prior experience in bookkeeping or accounting functions is considered an asset
  • Experience with Sage 50, QuickBooks, CaseWare, Cantax, and proficiency in Microsoft Excel and Office applications are considered a strong asset

Work Schedule & Flexibility

  • Mandatory in-office attendance Monday to Friday from January 1 to June 30
  • Flexible hybrid or remote work options available for the remainder of the year
  • Paid Fridays off during the summer (July 1 to September 30)
  • 10 days of paid vacation annually (in addition to paid Fridays off July 1 - Sep 30). Vacation time is restricted during March and April due to peak season demands
