Job Overview

We are seeking a highly organized and detail-oriented Administrative Assistant to support the Principals of our Interior Design Firm. This dynamic role involves a blend of executive-level administrative support, basic accounting data entry, and front desk / reception relief. The ideal candidate is proactive, polished, and comfortable multitasking in a creative and fast-paced environment.

Assistant to the Principals
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare and edit correspondence and reports.
  • Assist with travel arrangements, including booking flights and accommodations, and preparing detailed itineraries.
  • Prepare expense reports and reconcile expenses related to executive activities.
  • Act as a liaison between executives and other staff, facilitating communication and information flow.
  • Assist with personal tasks and errands as needed.
  • Maintain professionalism, discretion, and confidentiality in all matters.
Accounting & Data Entry
  • Perform basic bookkeeping duties such as entering vendor invoices and employee expenses into accounting software.
  • Assist with billing and reconciliation processes.
  • Coordinate with the accounting department to ensure timely and accurate data entry.
  • Maintain digital and paper filing systems for financial records.
Qualifications
  • 2+ years of experience in an administrative, executive assistant, or office support role.
  • Proficiency in Microsoft Office 365, particularly Outlook, Excel, Word and QuickBooks.
  • Strong organizational, time management, and problem-solving skills.
  • Excellent written and verbal communication abilities.
  • High level of discretion, reliability, and attention to detail.
  • Ability to adapt in a dynamic, evolving environment and collaborate effectively with Principals.
  • Experience in a creative or design-focused environment is an asset.
  • Driver's license and access to a vehicle is a plus.
