FULL JOB DESCRIPTION :

We are seeking detail-oriented, organized, and friendly individual to join our KVA team as an Administrative Assistant / Receptionist.This role requires someone who is professional, highly organized, and confident using a range of digital tools to support both the front desk and back-office operations. You’ll be responsible for managing client interactions, streamlining office tasks, and providing tech-enabled support to our accounting team. Additionally, this person will be the first-person clients speak to or see when they visit, and an essential part of keeping our team and systems running efficiently. Ideally, this position will start October 1, 2025.

KEY RESPONSIBILITIES :

  • Greet clients and visitors in a professional and friendly manner
  • Answer and direct phone calls, take messages, and manage emails
  • Schedule client appointments and use POS
  • Handle incoming and outgoing mail and packages
  • Organize and maintain client files (physical and digital) with confidentiality
  • Prepare and format client correspondence, reports, and engagement letters for corporate and personal tax clients
  • Provide completed year end packages (physical and digital) in a timely, accurate and efficient manner
  • Manage accounts receivables
  • Assist managers with various tasks
  • Troubleshoot minor office tech issues and coordinate with IT support when needed
  • Handle any other administrative duties as requested by partners or managers

REQUIRED SKILLS & QUALIFICATIONS :

  • High school diploma
  • 1-2 years of administrative or receptionist experience
  • Strong technology skills; comfortable and confident using Microsoft Office, Adobe, and shared calendars
  • Self-motivated and ability to problem-solve
  • Reliable, detail-oriented and organized
  • A great communicator towards clients and coworkers
  • Able to stay calm and positive, even when it gets busy
  • Ability to work longer hours (if required) during personal tax season
  • BENEFICIAL BUT NOT MANDATORY SKILLS

  • Basic understanding of financial or tax documentations
  • Familiarity with accounting or practice management software (ie. DropBox, XPM, Profile)
  • Experience with online accounting platforms (ie. QBO, Xero)
  • Interest in learning various bookkeeping skills;
