Position Overview

The Newcomer and Welcoming Coordinator acts as the receptionist at the Newcomer Connections Centre, welcoming and directing newcomer clients. This role involves working with staff to deliver seamless services, assisting with daily coordination, and supporting administrative and financial functions under the supervision of the GM, Newcomer, and Community Connections.

Major Responsibilities
Reception & Welcoming
  • Manage the front desk to welcome visitors and answer calls.
  • Build relationships with clients and community stakeholders.
  • Uphold Child Protection procedures and standards.
  • Maintain classroom and space standards.
  • Manage email and voicemail correspondence.
  • Assist clients with intake forms.
Coordination and Administration
  • Support administrative tasks for the GM, including document preparation, research, and project support.
  • Coordinate with team members to ensure organized workflow.
  • Maintain supplies and inventory, and process financial transactions.
  • Organize meetings and record notes.
  • Coordinate with community groups, volunteers, and donors.
Support
  • Assist with classroom scheduling and language programming tasks.
  • Support enforcement of attendance policies and client onboarding.
Special Projects
  • Handle intake and orientation for non-PR clients, targeting 300 clients.
  • Coordinate data collection for departmental projects.
  • Maintain service maps and inventories.
  • Create manuals and develop community partner lists.
  • Support health initiatives and participant engagement.
Qualifications and Experience
  • College or university degree.
  • Approachable, client-focused attitude.
  • Sensitivity to immigrant community needs.
  • Experience in a cross-cultural environment.
  • Strong organizational and interpersonal skills.
  • Proficiency in MS Word and Excel.
  • Flexibility to work varied hours.
  • Fluency in English; additional languages are an asset.
