Job description

We are currently looking to hire a National Fleet Coordinator for our team working at Markham office. This role will be Hybrid, with potentially working 3-4 days in office as required. The Fleet Coordinator manages over 100 vehicles nationwide, ensuring they are maintained, compliant, and efficiently utilized. This role involves budgeting, forecasting, vehicle acquisition, maintenance, fuel management, and driver management.

The coordinator collaborates with various departments, oversees regulatory compliance, conducts audits, and works with service providers for timely maintenance. Strong organizational skills, communication, and multitasking in a fast-paced environment are essential. Passion for fleet management and attention to detail are key.

Key Responsibilities Include

  • Manage end-to-end fleet operations, including acquisition, utilization, maintenance, and disposal.
  • Maintain accurate records of vehicle assignments, usage, and maintenance history.
  • Monitor fuel, maintenance, and overall fleet costs; provide data-driven reports and KPI tracking.
  • Ensure compliance with registrations, insurance, safety standards, and internal fleet policies.
  • Serve as the primary contact for fleet-related issues, accidents, claims, and stakeholder coordination.
  • Collaborate with cross-functional teams on vendor/product selection, budget planning, and process improvements.
  • Develop and implement fleet policies, procedures, and performance reports to drive efficiency and cost reduction.

The Ideal Candidate Will Possess

  • Strong knowledge of vehicle maintenance and repair processes.
  • Excellent organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in relevant software and systems: Including fleet management software, spreadsheets, and database systems.
  • Detail-oriented with strong analytical skills.
  • Proficient in Microsoft Office Suite, particularly Excel for data analysis
  • Ability to work independently and as part of a team.
  • 2+ years of experience in fleet management, with a proven track record of managing 100+ fleet vehicles.
  • Effective decision-making and problem-solving
  • Strong communication and interpersonal skills
  • Knowledge of vehicle maintenance, regulations, and analytical skills
