PURPOSE OF POSITION
Under the direction of one of the Directors this position provides a broad range of
administrative services that support the operational and political responsibilities of the
Union of National Employees (UNE). While assigned to a specific sector, the incumbent is
also expected to ensure coverage and provide support across other sectors during periods
of increased workload or operational need. This role plays a key part in helping the
organization deliver timely, accurate, and coordinated administrative services to its
members and internal teams.
STATEMENT OF RESPONSIBILITIES
- Support of Member Representation & Bargaining Services
- Open and manage grievance/staffing complaint files; research and prepare
documentation. - Coordinate the call-out and submission process for bargaining proposals; attend
committee meetings. - Support to Conventions, Conferences, Seminars and Meetings
- Formatting and proofreading documentation, verifying applications, and recording in
the database. Preparing delegate packages and reports and coordinating special
needs equipment, assisting with on-site registration, and ensuring event materials
are packaged and returned at the end of the event. Liaising with members,
suppliers, National Executive and UNE staff. - Drafting and maintaining minutes for the National Conference Steering Committee,
as required. - Drafting and formatting convention committee reports.
- Liaising with PSAC Regional Offices to coordinate the participation of the UNE
delegates and observers to PSAC Regional Conventions and identify UNE logistical
requirements. - Support to Local Executives, Standing Committees, and Consultation
- Manage Local Bylaw submissions and updates; maintain executive records.
- Support NLMCC activities, standing committees, and distribute meeting materials.
- Provide reception and general administrative duties including managing shared
inbox, mail, and supply inventory. - Document and Information Management
- Maintain subject files, databases, and shared drives; manage records in accordance
with retention policies.
QUALIFICATIONS:
Education
- Post-secondary education in Administration, or an equivalent combination of
education and experience.
Experience
- Minimum of two (2) years in a similar administrative role.
- Experience in a political or unionized environment is an asset.
Knowledge
- Strong knowledge of administrative practices, minute-taking, and event coordination.
- Solid knowledge of grammar, formatting, and correspondence standards.
- Knowledge of information management principles and practices.
- Knowledge of the political and operational structure of a union organization is
considered an asset.

- Strong ability to communicate orally and in writhe effectively in English and French.
- Proficiency in Microsoft Office and other workplace technology tools.
