We’re looking for our next Mortgage Servicing Specialist. Could it be you?

The Mortgage Administration Dept is responsible for the management of mortgages from the time they are funded to discharge. The purpose of this role is to ensure a seamless processing experience from the time a payout request is received to overseeing the completion of the registered discharge. Reporting directly into the Supervisor, Mortgage Administration, this role will ensure the company is upholding our all service level agreement expectations and regulatory requirements related to the role.

Our Administration Department consists of multiple supporting teams; Home insurance, Property Taxes, Renewal Postings / Broker EFTs, Investor Servicing / Remittances, Breach of Covenants, external customer communication / back office inquiry support, Prepayments, Discharges and many other key Administration functions. Each of our team members are Mortgage Servicing Specialists, who primarily support one of the above mentioned teams.

This role will be responsible for maintaining our prompt and efficient turnaround times with ensuring that law firms have accurately received their requested discharge statements, reconciling payouts and ensuring that our interest has been removed within regulatory guidelines. They may be opportunities to crosstrain and support the other above-mentioned teams as well.

In this role, responsibilities include but are not limited to :

  • Maintaining key relationships and providing best in class service to all 3rd parties, investors, brokers and partners
  • Ensure remittances are posted promptly and liaise with third party servicing companies to reconcile all out of order loan payments
  • Accurately creating discharge statements and sending the statements to law firms
  • Responsible For Reviewing System Service Packs, testing and assessing new enhancements
  • Perform Cash Management (bank reconciliations, wire transfers, cash balances, etc.) and liaise with Finance and Treasury to ensure general ledger transactions are accurate for all serviced loans
  • Posting Payout proceeds
  • Responsible for preparing and producing information statements
  • Process manual payments as required
  • Create case communication with our Service Layer until cases are resolved
  • Ensure our Borrower paid tax accounts are in good standing
  • Provide backup support for timely remittance of interim, final and supplemental tax installments to all municipalities
  • Review mortgage tax accounts, ensuring sufficient funds are available and action as necessary.
  • Notify Municipalities of our interest in the subject property
  • Work with Insurers to obtain up to date insurance policies upon cancelation and expiration notification
  • Report on loans with lapsed insurance policies
  • Production and distribution of the commercial annual review and maturity reports, together with related correspondence letters
  • Maintaining and the organization of all electronic mortgage files
  • Ensure accurate record keeping – both electronic and paper based and ensure that all records are stored and retained to meet Company requirements
  • Identify continuous improvement opportunities
  • Assist with the ongoing maintenance and updating of related procedures
  • Follow AML procedures on all files with an emphasis on “Know Your Client” rules
  • Proactively identify actual and potential violations of AML regulatory requirements, internal policies and procedures or other AML / ATF risk situations at an early stage. Conducts appropriate inquiries and investigations in relation to any such situation and ensures that corrective actions and / or risk mitigation actions are implemented in a timely manner or escalated appropriately
  • Adhere to compliance and operational risk controls in accordance with company’s policies and procedures

  • Have Post-Secondary Education specializing in Business Administration or Finance

  • Have strong analytical skills
  • Are detail oriented with an acute attention to accuracy
