Responsibilities

Your Key Responsibilities :

  • Be the friendly voice and support for clients, answering service requests and calls with professionalism and care
  • Spend 90% of your day reviewing legal documents from lawyers—ensuring accuracy and completeness
  • Collaborate with banks and law firms to gather any outstanding paperwork needed to move files forward
  • Assist lawyers and lenders with escalations and general inquiries, providing prompt and effective resolutions
  • Handle post-closing follow-ups within company guidelines—keeping things on track and on time
  • Keep our internal platform (MOTION) up-to-date with file notes and status updates for all follow-ups
  • Monitor the dedicated follow-up mailbox, processing confirmations and supporting documents as they arrive
  • Lend a hand with incoming mail and final documentation, playing a key role in keeping operations smooth
Qualifications

We’re seeking a proactive, detail-oriented professional ready to thrive in a fast-paced, client-focused environment. If you enjoy collaborating, problem-solving, and bringing structure to complex workflows, this role is for you!

  • Previous experience in the mortgage or legal industry, understanding the flow of documentation and client expectations
  • Familiarity with mortgage documentation is a strong asset
  • Banking industry experience is highly preferred; bonus if you’ve worked with lenders or loan documentation
  • A proven track record of delivering exceptional customer service with professionalism and care
  • Tech-savvy, with the ability to pick up new systems quickly; experience with ActiveOps is a plus!
  • Strong written and verbal communication skills, paired with a natural ability to resolve issues and think critically
  • Ability to juggle priorities and stay organized under pressure in a high-volume, fast-paced environment
  • A true team player with sharp attention to detail and a collaborative mindset
