Position Overview:
We are seeking a dynamic, detail-oriented, and outgoing Member Services Assistant to join our team. This position is ideal for someone who enjoys variety in their workday, is energized by meeting new people, and takes pride in providing exceptional support to internal teams and external members. The ideal candidate has a strong service mindset—someone who consistently puts member needs first, ensures all inquiries are answered promptly, and helps deliver a positive and enjoyable experience in every interaction.
Key Responsibilities:
Meetings & Administration:
- Arrange and coordinate internal and external meetings, including scheduling, logistics, and communication.
- Prepare agendas and materials for meetings; attend as required to take detailed and accurate notes.
- Ensure consistent organization and attention to detail in all administrative tasks.
Event & Education Support:
- Assist in planning and executing member-focused events across the province, including galas, golf tournaments, curling bonspiels, conferences, and tradeshows.
- Support coordination of educational programming, including in-person and online training sessions, workshops, and seminars.
- Manage event and education logistics such as registration, materials preparation, speaker/venue coordination, and on-site or virtual support.
- Some evening work and travel may be required to support events, education sessions, and member engagement activities.
Member Experience & Communication:
- Respond to member questions and inquiries in a timely, professional, and friendly manner.
- Proactively ensure that all members feel welcomed, supported, and valued in every interaction.
- Reach out to potential new members and support follow-up communications.
- Participate in member visits and engagement activities—being enthusiastic about building relationships is key.
- Maintain and update website content to ensure it is accurate, user-friendly, and informative.
Document & Design Support:
- Format and design professional-looking documents such as newsletters, event materials, reports, and promotional content.
- Uphold CASKs brand identity in all external and internal communications.
Qualifications:
- Previous experience in administrative, event coordination, or member/customer service roles is preferred.
- Strong commitment to providing an exceptional member experience; able to put members' needs first.
- Attention to detail is essential.
- Energetic and extroverted personality with a genuine interest in meeting and engaging with people.
- Excellent organizational, multitasking, and communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with website content management systems (CMS) is an asset.
- Familiarity with design tools such as Canva or Adobe Acrobat is an asset.
- Ability to work independently and collaboratively.
- Valid driver’s license and ability to travel within Saskatchewan as required.
- Availability for occasional evening work and travel is expected.
