Position Summary
As a Member Services Associate, you will be part of an administration team that provides high-quality administration services to multiple clients and demonstrates outstanding and timely customer service. You will have access to and regularly work with information that is highly confidential and critical in nature. As a Member Services Associate, you must be professional and highly organized, have excellent communication skills, with a strong work ethic, and the ability to work autonomously.
Key Responsibilities
- Greet clients and visitors at reception
- Provide accurate responses and necessary forms to clients and visitors
- Receive and triage incoming in-person enquiries by providing visitors with information or transferring visitors to appropriate individuals
- Receive incoming mail, faxes and courier packages and forward to appropriate individuals
- Prepare outgoing mail and courier packages
- Respond to basic email in the general mailbox or distribute to appropriate individuals based on the nature of the enquiry
- Intake incoming claims and member documents and forward to the appropriate individuals
- Follow up on stale dated cheques
- Remain current on Call Centre staff schedules and breaks so that callers and visitors can be informed of staff availability
- Perform administrative support tasks relating to change of addresses, eligibility letters, and self-payment notices, opening files for life insurance claims and weekly disability
- Contribute to the team effort by completing other administrative tasks or projects as assigned
- Any other duties needed to help drive to our Vision, fulfill our Mission, and abide by our Organization's Values
Qualifications And Attributes
- Education: High school diploma or equivalent; post-secondary education an asset
- Experience: Minimum 1-3 years of experience in reception, customer service, or administrative roles.
- Skills: Strong interpersonal and communication skills (both verbal and written)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database systems
- Excellent organizational and multitasking abilities
- Attention to detail and accuracy in data entry and document management
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Attributes: Professional demeanor. Positive attitude and customer service-oriented mindset. Reliable, punctual, and able to work independently and in a team environment.
- Successful completion of a cleared criminal background check is required
