Events Coordinator – Vancouver Downtown (fixed term contract)

Our client is a reputable regulatory body with tens of thousands of members - individuals and businesses. The organization monitors the membership to ensure ethical standards and policies are being complied with, and to provide support and consultancy to members.
What - the Opportunity:
Reporting to the Manager, Events, the Events Coordinator will be responsible for supporting the department with various duties related to any member engagement events.
Key Responsibilities:
Event Support
- Develop event and registration information for the web.
- Manage registrations (online, paid and complimentary).
- Generate and provide weekly registration numbers.
- Sponsorship outreach (i.e., phoning companies to confirm contact information), and sending out sponsorship packages.
- Research food and beverage options.
- Coordinate photo props, seating charts, etc.
- Collect and organize speaker materials and exhibitor and sponsor materials.
- Package items and transport to venue.
- On-site support including set-up, event registration, etc.
- Create and distribute post-event surveys.
Program Support:
- Provide coordination support for Chapters events, including:
- Support with the updating and tracking of event information.
- Set up event registration in Pheedloop and on the web page.
- Create post-event survey to be sent out in Survey Monkey.
- Prepare and arrange promotional communications to go out.
- Prepare event recaps for Chapter web page.
- Support with the collection of confidentiality pledges from volunteers.
- Support with the packaging and delivery of swag to Chapter regions around the province.
- Support with the distribution of gifts and packages to members.
- Attend member-facing events and support with registration desk, or other duties as required.
Who - the Candidate:
- Two (2) to three (3) years of experience in Office Administration, Administrative Support, or Event Coordination experience.
- Intermediate proficiency with SharePoint, MS Office and Adobe, in particular Word, Excel, Outlook, PowerPoint and Acrobat Professional.
- Excellent communication skills.
- Strong interpersonal and customer service skills with the ability to build rapport quickly.
- Ability to work collaboratively as a member of a team and independently with minimal supervision.
- Refined organizational and time management skills and the ability to multi-task.
- Proven ability to prioritize competing requirements and deadlines under pressure.
- Experience with Survey Monkey and event registration software would be an asset (Pheedloop) but is not required.
- Basic understanding of web content management and HTML would be an asset (Kentico preferred but is not required).
Where:
Our client is headquartered right in the heart of Downtown Vancouver. The Events Coordinator is required to work full time from the office with occasional remote workdays.
How Much:
A competitive hourly rate ranging from $26 to $30 per hour, plus 4% vacation pay, commensurate with the candidate’s experience, qualifications, and skills. Please discuss further with SWIM!
