Position Overview

We are seeking an experienced Meetings and Events Travel Coordinator to join our dynamic team. In this role, you will play a critical part in planning and managing travel logistics for meetings and events, ensuring a seamless experience for all attendees.

**This is a hybrid position based in Montreal**

Key Responsibilities:

  • Configure and manage technology platforms used for event registration and planning, including booking systems, attendee tracking and communication tools.
  • Configure and maintain online group parameters in the Online Booking Tool (OBT) while ensuring compliance with security protocols and data privacy regulations.
  • Integrate and maintain GDS-based travel booking solutions to support event logistics
  • Ensure seamless synchronization between event management tools, travel systems, and internal communication platforms.
  • Collaborate with vendors and internal teams to troubleshoot technical issues and optimize system performance.
  • Provide training and support to event coordinators and stakeholders on technology tools and best practices.
  • Monitor event technology trends and recommend innovations to enhance efficiency and user experience.
  • Read and interpret airline rules and policies to prepare and manage exchanges, refunds, and ticket adjustments.
  • Maintain a high level of organization, meeting deadlines and managing multiple priorities.
  • Collaborate with stakeholders to ensure travel policies and event goals are met.

If you're detail-oriented, passionate about travel coordination and event management, and thrive in a fast-paced environment, this role is for you. Key qualifications include:

  • 3–5 years experience in corporate travel, GDS systems (e.g., Sabre, Amadeus, or Galileo) is required.
  • Strong understanding of event planning software, travel booking platforms, and attendee management tools.
  • Exceptional organizational skills with the ability to manage multiple projects simultaneously in a fast-paced environment.
  • Highly motivated to work independently, with minimal supervision, while delivering exceptional results.
  • Excellent communication skills, a proactive mindset, and the ability to anticipate needs and adapt to changing circumstances.
  • Strong problem-solving skills, with the ability to diagnose and resolve technical issues efficiently.
  • Excellent communication and collaboration skills to work with cross-functional teams and external vendors.
  • Knowledge of data security and compliance standards related to travel and event management technology.
  • Bilingual proficiency in English and French is preferred.
