Job description

HearCANADA is looking for a full-time Medical Secretary for our Jackson Park Medical Centre location. This role supports our ENT (Ear, Nose, and Throat) physicians at their busy specialist clinic.
Key Position Information
  • Full-time role with Monday to Friday hours, hours can fluctuate and can involve some early mornings
  • Onsite position based at the Jackson Park Medical Centre in Windsor, ON
  • Position start date is as soon as possible
  • Dress is business casual
Qualifications
  • Completion of secondary school (or equivalency) education; post-secondary education or certifications in office administration, medical office administration, or other related disciplines would be considered an asset.
  • 2+ years of experience in a Medical Secretary or Medical Office Assistant capacity is required, ideally within a multi-physician high-volume environment
  • Proficiency with Microsoft Office Suite with emphasis on Outlook Mail, Outlook Calendar, and Teams
  • Experience using EMR (electronic medical record) software programs
  • Experience with filing and maintaining patient records, both physically and electronically
  • Professional demeanour with the ability to make patients feel at ease
  • Ability to handle competing priorities within a fast-paced environment
  • Experience collaborating with healthcare providers in the Windsor area and knowledge of the Windsor healthcare landscape would be an asset
  • Commitment to patient confidentiality and experience with Medical Release forms and Medical Secretary best-practices
  • This role will involve periods of sitting with some bending and lifting as related to general administration duties such as receiving packages, refilling paper trays, etc.
  • Some flexibility for irregular hours Monday to Friday can be expected, including some early mornings
Compensation and Benefits
  • Starting compensation between $21 and $23 per hour based on experience

Responsibilities
  • Ensure a positive patient experience for those visiting the clinic through efficient and friendly check-ins, answering questions, validating information, and maintaining a welcoming clinic environment
  • Interact with patients, colleagues, and referral sources via phone and email in a prompt and professional manner and perform follow-ups via phone and email
  • Support the ENT Specialists by validating patient information, pulling charts, and filing
  • Schedule patient appointments, follow-ups, and procedures
  • Perform general office duties including maintaining a welcoming and sanitary waiting room, sorting incoming mail and receiving packages, maintaining general office equipment, ordering supplies, and other like duties
  • Validate patient information including OHIP health cards and personal information for patient files
  • Perform OHIP billing
  • Assist with general clinic duties as assigned
