This is a regular part-time, replacement position in the Acute Ambulatory Care Unit.

Responsibilities:
  • Facilitate access to specialty services by managing referrals and scheduling appointments:
    • Receive and triage referrals, confirm information, and retrieve relevant data
    • Coordinate with physicians and clinical team for triage decisions
    • Create and update patient records in the Electronic Patient Record (EPR)
    • Schedule patient visits, tests, and procedures
    • Communicate appointment details to patients and staff
    • Monitor and optimize clinic schedules
    • Provide patients with test info, prep instructions, and logistical details
    • Remind patients of appointments and follow up on no-shows
  • Support clinic operations by booking complex tests, preparing charts, and liaising with health records:
    • Prepare daily patient charts, retrieve results, file reports, and manage chart requests
    • Coordinate with health records and ensure documentation accuracy
    • Ensure team members are informed of schedule updates
  • Enhance patient experience by check-in/check-out procedures:
    • Greet patients, verify demographics, validate health cards
    • Register visits, distribute forms, and monitor waiting areas
    • Schedule follow-ups and ensure patients have all post-visit instructions
  • Perform administrative activities to support clinic efficiency:
    • Participate in quality improvement projects
    • Respond to inquiries, manage correspondence, and maintain supplies
    • Attend team meetings and contribute to process improvements
    • Handle paperwork for non-insured patients and payments
Qualifications:
  • Medical Office Administration diploma required
  • Minimum 2 years’ experience in an ambulatory clinic, preferably hospital-based
  • Experience with electronic health records and MS Office
  • Strong organizational, communication, and interpersonal skills
  • Ability to work under pressure and prioritize effectively
  • Knowledge of healthcare procedures and standards
  • Professional behavior aligned with hospital and regulatory standards
