Job description

A Medical Clinic is seeking an office manager for a multidisciplinary medical clinic in Langley, BC, to provide executive administrative support for a family physician and a specialist psychiatrist. Previous relevant experience is preferred. Work must be completed at the physical location. There is no option to work remotely.

These are the responsibilities of the role:

  • Oversee and coordinate office administrative procedures; review, evaluate, and implement new processes.
  • Establish work priorities, delegate tasks to office support staff, and ensure deadlines and procedures are followed.
  • Coordinate the availability of office equipment, supplies, forms, maintenance, and security services.
  • Review and assemble data and prepare reports and correspondence.
  • Carry out administrative activities related to referrals and consultations.
  • Ensure accurate collection of patient data while maintaining both accuracy and confidentiality.
  • Provide clerical support by handling phone calls and correspondence.
  • Manage inventory effectively.
  • Collect attendance for payroll purposes.
  • Prepare invoices and process payments as required.
  • Address concerns from physicians, patients, and staff.
  • Ensure smooth and cooperative operations within the medical office.
  • Supervision of office support staff

Qualifications

  • A minimum of 1 year of experience in a senior or executive secretarial position is required.
  • Completion of high school is required.
  • Proficiency in Microsoft Office, Adobe, Clio Manage and MS Teams is essential.
  • Familiarity with Doxy.me, Google Docs and Pharmanet is preferred.
  • Excellent verbal and written communication skills in English are required.
  • Strong time management, critical thinking, and decision-making skills are necessary.
  • Attention to detail in a fast-paced environment is required.
  • Efficient interpersonal skills, flexibility and organizational skills will be an asset.

The following will be considered an asset:

  • Experience with coordinating independent medical examinations and medico-legal assessments

We are offering $36.00/hr for 35 hours/week
