Job description

ABOUT YOU:

Pacific Fertility is hiring a Full-time Permanent Medical Office Assistant Supervisor for our Burnaby office scheduled Monday to Friday from 8:00am– 4:30pm. This position is onsite, salary exempt.

The Medical Office Assistant Supervisor performs a wide variety of both administrative and procedural tasks and works as part of a multi-disciplinary team to deliver the highest standards of care while managing and providing daily direction and oversight to the MOA team.

YOUR RESPONSIBILITIES:

• Manages Medical Office Assistant team.
• Takes lead role in training new Medical Office Assistant team members.
• Monitors Medical Office Assistant performance regularly and successfully addresses issues; creates a plan for success for team members.
• Creates, organizes, and manages Medical Office Assistant schedules.
• Processes Medical Office Assistant vacation requests and schedules appropriate coverage.
• Attends PCRM clinical meetings and brings forth pertinent matters; assists with minutes as required.
• Acts as liaison between Managing Director and Medical Office Assistant team regarding HR matters or concerns.
• Acts as liaison between Medical Office Assistant team and other departments.
• Reviews all Medical Office Assistant team incident reports, attends Incident Report Meetings to bring Medical Office Assistant incidents forward.
• Ensures all Medical Office Assistant relevant information relating to policy and procedures is conveyed and implemented with team members.
• Answers patient inquiries.
• Books and confirms patient appointments.
• Prepares requisitions.
• Confirms patient portal information is complete.
• Ensures lab work is complete prior to patient treatment.
• Scans and documents in EMR.
• Unpacks and puts away clinical orders.
• Assists physicians with procedures.
• Obtains patient vitals.
• Cleans and preps examination and ultrasound rooms.
• Sterilizes medical equipment.

WHAT YOU BRING TO THE TABLE:

• Medical Office Assistant certificate or Admin Health-related certification is required.
• At least three years' experience as a Medical Office Assistant, or a related position.
• At least two years in a Medical Office Assistant Supervisory role.
• Proven ability to identify and successfully realize company goals and objectives.
• Demonstrate innovative and analytical abilities, leadership skills, and exceptional communication skills to deliver excellent patient care.
• Excellent customer service skills – serving patients with compassion and dedication.
• Team player, adept at multitasking, and also the ability to work self-sufficiently when required.
• Excellent English skills, both written and oral.
