Job Description
Position Summary
Medical Office Assistant (MOA) position encompasses various roles within a medical office. This position is classified as part-time/casual working 2 days per week and filling in full-time as replacement for staff on holidays.
Qualifications and Skills
- Experience and/or training relevant to a medical office such as medical office administration certification, experience in office administration that is translatable to primary care, or previous employment in a health care setting
- Excellent problem-solving skills and demonstrated ability to work independently and as a valuable member in a team environment to achieve expected results.
- Previous experience with Electronic Medical Records (EMR) software
(preferably Telus PS Suite)
- Excellent understanding and regular use of medical terminology
- Excellent customer service, communication and interpersonal skills
- Exceptional organization, time management and prioritizing skills.
- Ability to work well under pressure and handle difficult situations while remaining calm
- Understanding of the ethical, confidentiality and privacy standards of a medical office
- Familiarity with Mac OS computer environment would be an asset
Responsibilities and Duties
- Open/Close office
- Review and action any phone messages
- Unlock/locks waiting room and ensures it is presentable
- Opens and triages all mail & faxes –scan all patient related documents to charts
- Assists with thorough clean and disinfection of exam rooms at end of day
- Answers and triages all incoming calls to appropriate staff
- Schedule appointments appropriately based on triage & communication with physician
- Welcome and check-in all patients as they arrive in a professional and courteous manner
- Verify health card and patient demographic information at each visit
- Scan and process incoming reports and notify physicians according to established procedures
- Receive MOH rosters and check for patients requiring enrolment
- Monitor patient profiles and day sheets for patients needing to be re-enrolled, rostered or de-rostered
- Process/record invoices for physicians daily (including method of payment)
- Process/scan/follow-up insurance forms and 3rd party requests as needed
- Check EMR messages and reconcile daily
- Adhere to appropriate documentation requirements of all your actions and interactions with patients
- Monitor inventory levels of office supplies
- Clean and stock examining rooms and other designated areas with necessary supplies.
- Perform general service duties including ordering forms, preparing requisitions and samples to send out to lab, reports, inventory control, etc…
