Job Overview:

We are seeking a dedicated and professional Medical Office Assistant to join our team. The successful candidate will be the frontline of our spa, ensuring efficient administration and warm patient interactions. This role requires excellent organizational skills, a compassionate approach, and a passion for healthcare and aesthetic improvement.

Key Responsibilities:

– Greet and check-in clients, ensuring a warm and welcoming environment.

– Manage appointment scheduling using clinical software, handling changes or cancellations as needed.

– Facilitate client flow by notifying staff members of clients’ arrival promptly.

– Maintain patient accounts by obtaining, recording, and updating personal and financial information.

– Process payments and manage billing information.

– Handle incoming calls, emails, and other communications, providing informative responses and routing messages appropriately.

– Ensure confidentiality and secure handling of all patient records and interactions.

– Assist with the preparation and maintenance of treatment rooms and inventory.

– Provide support to medical staff as required during treatments and consultations.

– Educate clients on med spa services and products, enhancing client engagement and satisfaction.

Qualifications:

– Proven experience as a Medical Office Assistant or similar role; experience in a med spa, clinic, or hospital is highly desirable.

– Certificate or diploma in Medical Office Administration or related field.

– Proficiency with medical software and Microsoft Office.

– Strong organizational and multitasking abilities.

– Excellent communication and interpersonal skills, with an emphasis on customer service orientation.

– Knowledge of medical and aesthetic terminology is an asset.
