Medical Office Administrator

Job Status: Full-Time

Location: Vaughan/Newmarket, Ontario

Reports To: Administrative Team Lead

Your Role

The Medical Office Administrator reports to the Administrative Team Lead and works closely with the operations and the clinical teams. The position is responsible for managing the physician’s clinic, which involves booking clinic appointments, preparing for upcoming appointments, providing follow up instructions after the appointment, directing/forwarding incoming phone calls and emails, scheduling appointments and resolving patient inquiries. Regardless of the task at hand, the position’s main goal is to assist the physician in providing an excellent patient experience and to work efficiently with the rest of the Clinic.

Job Responsibilities:

  • Answer incoming calls from patients during operating hours.
  • Book clinic appointments for the patients.
  • Confirm all physician appointments and ensure all documents are on file.
  • Working closely with clinical team to assist patients with inquiries.
  • Send patient referrals.
  • Checking in patients for appointments, screening patients for COVID-19
  • Medical reception coverage.
  • Daily patient invoicing.
  • Maintaining overall presentation of the clinic by ensuring that all rooms, including the washrooms, collection rooms and exam room are well-stocked and clean.
  • Keeps EMR records up to date by scanning the patient file, test results and other documents and properly saving them in the patient’s electronic file.
  • Creating new patient charts
  • Ordering medications, kits, pamphlets, other medical supplies as well as participate in monthly and Year-End Inventory.
  • Outgoing Mail, accepting deliveries

Experience / Position Requirements:

  • 2+ years of Medical Administrative experience.
  • Experience in preparation and reconciliation of OHIP billing information
  • Experience with AbelMed and eIVF an asset
  • A college diploma in the field of Medical Office or Business Administration.
  • Computer savvy and proficiency in Microsoft Office/Suite.
  • Generation Fertility is a multi-site corporation. There may be times you are requested to participate in assignments at other sites. Job Type: Fixed term contract
Contract length: 12 months

Pay: From $23.00 per hour

Expected hours: 37.5 per week
